Job Description

KEY TASKS

SELL AND BOOK DAY TOURS:

• Respond to phone & email tour bookings, especially for day tours

• Respond to tour bookings from digital platforms such as Trip Adviser, Get Your Guide, Google Business, FB Messenger, Instagram, WhatsApp

• Enter all bookings into the Vanuatu Ecotours booking calendar

• Regularly check the accuracy of bookings in the Vanuatu Ecotours booking calendar, especially for Ignite and Trip Advisor

• Front desk duties at the Vanuatu Ecotours office, including responding to visitors who come to the office

• Assist with marketing activities including brochure distribution and social media

TOUR OPERATIONS AND ADMINISTRATION:

• Make bookings with suppliers for tour operations, and book guides for tours

• Prepare daily ‘road tables’ for guides based on booking calendar

• Ensure there are complete Tour Reports and Incident Reports at end of tour

• Maintain tour statistics for day tours

• Draft invoices for day tours using Xero

• Liaise with suppliers regarding their services

• Keep digital platforms up to date and accurate, such as Trip Adviser and Get Your Guide

• Assist with logistics and administration linked to tour operations and TV Crew “fixer” missions, including banking and petty cash reconciliation

• Other secretarial and administrative tasks as required.

TOUR GUIDING:

• Work as a tour guide and/ or driver when required.

EXPECTED OUTCOMES:

• Booking enquiries are responded to within 24 hours and are accurate

• 40% of email enquiries converted into bookings

• Booking calendar 100% accurate, no bookings missed

• Every tour has a completed Tour Report

• Every tour has an invoice in Xero

• Accurate tour statistics/ records

• No miscommunications or misunderstandings with suppliers

• No complaints from clients on booking process or front desk duties.

Selection Criteria

REQUIRED COMPETENCIES

ESSENTIAL:

• Very good English skills both written and spoken

• Microsoft Office skills (Word, Excel, Outlook)

• Social media and software general skills or ability to learn (Facebook, Instagram, WhatsApp)

• Knowledge of the Port Vila/ Efate tourism industry

• Attention to detail

• Honest, polite and reliable

• Good personal time management

• Ability to work in a team

DESIRABLE:

• French language skills

• Driving licence

• Tour Guiding or Tourism Industry experience.
