HR ASSISTANT

Ramada by Wyndham Port Vila (RBWPV) is seeking a suitable candidate to appoint for the position of HR Assistant. The main purpose of this position is to provide administrative and operational support to the Human Resources department and assist with the smooth and effective management of HR functions.

HR Assistant

Reporting to the Human Resources Manager/HR Officer, the HR Assistant will assist with day-to-day HR administration, employee records, recruitment, onboarding, attendance, payroll support, and general staff matters.

The HR Assistant’s responsibilities include maintaining accurate and confidential employee records, preparing HR documents, assisting with recruitment and onboarding, monitoring staff attendance and timesheets, and supporting the HR team with various administrative duties.

To be successful as an HR Assistant, you should demonstrate excellent organisational and communication skills, attention to detail, professionalism, and the ability to maintain confidentiality. Ultimately, an outstanding HR Assistant should be able to manage multiple tasks efficiently, work well with employees and management, and provide reliable support to the HR department.

HR Assistant Responsibilities:

  • Maintain and update employee records and personnel files accurately and confidentially.
  • Assist with the preparation of employment contracts, HR forms, letters, memos, and other HR documentation.
  • Assist with recruitment activities, including preparing job advertisements, arranging interviews, and communicating with applicants.
  • Assist with the onboarding and registration of new employees.
  • Follow up on required employee documentation, including identification, bank account, VNPF, and other employment records.
  • Assist with monitoring staff attendance, clockings, timesheets, leave, and other employee records.
  • Provide support with payroll preparation by checking timesheets, attendance records, overtime, leave, and other relevant information.
  • Assist with preparing HR reports and maintaining accurate HR records.
  • Respond to staff enquiries and provide general HR administrative assistance.
  • Assist with staff meetings, training, and other HR activities when required.
  • Maintain confidentiality of employee information and ensure HR records are securely maintained.
  • Assist with disciplinary documentation, staff correspondence, and other HR matters as directed.
  • Ensure HR processes and documentation are completed accurately and within required deadlines.
  • Perform other general HR and administrative duties as required.

Abilities/Skills:

  • Excellent organisational and administrative skills.
  • Good written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Good computer skills, particularly Microsoft Word and Excel.
  • Ability to maintain confidentiality and handle sensitive employee information professionally.
  • Ability to work under pressure and manage multiple tasks within deadlines.
  • Good interpersonal and problem-solving skills.
  • Professional presentation and positive attitude.
  • Ability to work independently and as part of a team.
  • Previous experience in Human Resources, administration, or a similar role will be an advantage.
  • Previous experience in the hospitality or hotel industry will be an advantage.
  • A qualification or training in Human Resources, Business Administration, or a related field would be desirable.
