Applications are invited for the position of Ground Handling Executive within Air Vanuatu (Operations) Limited. This position is based at Air Vanuatu Bauerfield Domestic Terminal, Port Vila and reports directly to the Chief Executive Officer.
The Ground Handling Executive oversees the management of each Air Vanuatu airport department in Vanuatu, Bauerfield, Pekoa, Whitegrass and Outerports. The responsibility entails compliance and conformance with all regulatory standards (CAAV/ICAO/IATA) and company policies to ensure the safe and efficient operation of the airport. This job is multi- faceted and vital to aviation safety. As a Ground Handling Executive, you will exhibit a high standard of leadership and will demonstrate the Company’s commitment to be a good
employee, which is customer-focused and conscious of the needs of its stakeholders. Travel to other sites domestically or regionally may, from time to time, be required. Flexibility in terms of availability to respond to emerging situations and attendance may be required during weekends and out of hours.
Ground Handling Executive Role
Key responsibilities include:
Quality, Security and Safety
Ensure all regulatory and company policies are adhered to in order to ensure the safe and efficient operation of the airport Ground Operations
Ensure compliance with the company’s integrated management system including Safety Management System and Ground Operations Management System
To support the maintenance, development and promotion of workplace cultures which deliver sustainably high standards of:
o Staff and workplace health and safety;
o Risk awareness and mitigation;
o Communication and reporting of all safety and risk related events and assurance measures.
Use the company SERA facility to report any hazards, dangerous observations,
concerns, incidents that may affect safety and/or performance compliance
Ensure the safe and compliant operation of all aeronautical activities undertaken at all
airport stations at all times
Self-audit and monitor processes to ensure that all staff are aware of performance
standards, investigate reports and initiate corrective action
Keep the contents of the Ground Operations Manual systems, processes and
procedures up to date and relevant
Ensure all staff are aware of the standard operating processes and procedures as
documented in the Ground Operations Manual
Disruption Management
Collaborate with OCC and relevant authorities to ensure the outcome is the safest and most economical resolution
Implement processes to facilitate effective communication with customers consistently and continuously
Effectively and efficiently communicate with other departments to eliminate and/or mitigate safety risks and customer service impact
Ensure transportation and staff welfare is being effectively managed in the event of a disruption
Monitor and maintain accurate records of the movement statistics “on Time Performance (OTP) and provide weekly reports to OTP
Budget Management & Reporting
- Accountable for the preparation of the department’s business plan, annual budget review and target plan
- Deliver the department’s business plan, annual budget and if applicable, capital investment budget
- Meet relevant reporting requirement with 100% accuracy and within required timeframes
- Identifying and implementing cost-effective solutions without compromising safety
People Management
- Be the outward face of the Airport developing and maintaining positive relationships between the Airport and its stakeholders
- Foster strong relationships with established and potential customers
- Provide day-to-day management and leadership to the Airport’s teams and staff
- Responsible for the development and motivation of the Ground operations team members to deliver high standard of efficient customer service
- To undertake and conclude negotiations with employee groups including Staff Representatives and Trade Unions as well as Government agencies and external bodies
- Implement and monitor performance management process for all direct reports, including (but not limited to) performance discussions, documentation on a 6 monthly and annual basis.
- Maintain personal records of employees and prepare associated management reports on Employee Potential, Staff Career Development, Wages, Superannuation, Leave and Training
- Ensure personnel contracts and working conditions in compliance with Employment Act and other relevant legislation and standards
- Prepare shift rosters for airport staff
Selection Criteria
- Minimum of 5 years’ management experience in a similar aviation-related role
- A degree or equivalent in management qualification
- Effective Financial Management Skills, including managing budgets
- Evidence of working with and influencing internal and external stakeholders
- Excellent people management skills including leadership, coaching and development
- Knowledge of legislation and an understanding of regulatory matter and a proven history of dealing sensitively and diplomatically with regulatory authorities
- Ability to prioritise workload to meet multiple deadlines.
- Excellent communication skills, both written and verbal.
- Ability to use initiative and take decisive action.
- Demonstrate a positive approach to organizational goals.
- Ability to use Microsoft applications – Word, Excel, Powerpoint, Outlook
- Full Driving Licence
- Ability to hold an AVSEC ID with no past safety / security records
